Information for staff submitting Reserve/ eReserve material

Academic staff may place high demand materials into the Reserve or eReserve collections. We recommend submitting requests prior to the start of a teaching period, allowing at least five working days for processing. All material is processed in order of receipt. There are no restrictions on the number of titles that you may place on Reserve, although only one copy of an individual title may be placed there. Please read on for more information about the submission process.

How do I submit items?

Reserve: please download and complete the submission form (word, 76kb). Return the completed form to the Information desk at your campus library.

eReserve: items to be placed on eReserve must be submitted via the online submission form.


What can be placed on Reserve/ eReserve?

Reserve

  • Items held in any of the Library's collections.
  • Private copies of books and computer disks.

Bibliographic details of private copies of books will normally be forwarded to our Acquisitions section. Generally, any private items placed on Reserve should also be ordered for inclusion in the Library's collection. The Library does not accept responsibility for any damage to personal items placed in the Reserve Collection.

eReserve

  • Digitised journal articles and extracts of books.
    All submissions must comply with current copyright laws.
    Full citation details must be suppled with all journal articles and sections of books.
  • lecture/tutorial notes.

What can not be placed on Reserve/ eReserve?

  • tutorial material other than notes eg. tutorial questions, solutions and unit descriptions.
  • books of readings and examples of students' work (e.g. essays, PowerPoint presentations).

What about copyright?

Material is checked for compliance with the Copyright Act. Any material that does not comply will be immediately returned to the staff member. Full details can be obtained at the UB copyright site.

Books

You may copy 10% OF THE WHOLE WORK, OR A CHAPTER, WHICHEVER IS GREATER.

Example 1: where a lecturer wishes to copy the largest amount of material from a 100 page book, and the book is divided into chapters, the lecturer could elect to copy 10 pages (10%) rather than being restricted to an 8 page chapter. Conversely if the book had a chapter which was 20 pages in length, the lecturer could copy the whole of that chapter.

Example 2: it would be permissible for the lecturer to copy 10 pages (10% in aggregate) from anywhere within the book regardless of whether the book is divided into chapters or not.

Journals

You may copy up to the whole of an article in a journal, or more than one article from the same publication if they relate to the same subject matter.


How do I remove material from the Reserve/eReserve collections?

Material will be removed on, or shortly after, the date nominated by you. We recommend that the material remain on Reserve/ eReserve until after the exam period. Any personal material will be returned to you via internal mail, other material is returned to their regular collections and links to Web documents are removed or inactivated.


Are my Reserve items being used by students?

Usage statistics for each item will be sent to you at the end of each semester. We are also able to provide statistics to you upon request at any time during the teaching period.

As the Reserve collection is for high demand material, any item that was not circulated more than five times during a semester may be rejected for inclusion in the Collection next teachong period/year, unless we can be assured of its use.
