Document Delivery Services - Requesting, collecting and returning items

Requesting items

Before making a request

Please check our catalogue to ensure the item is not already held by a University of Ballarat campus library. Also check the eJournals A-Z listing for full text journal articles.

Making your request

Make your request electronically using the online request form, unless you are a final year undergraduate student, in which case you are required to use manual printed forms. Please contact the Document Delivery office or Information Desk for these forms.

You do not need to know which library owns the item required but if you do know, include the information as it will assist in the processing of your request.

Processing time for requests

Requests are usually processed within 24 hours of Document Delivery receiving them, but response time is dependent on the supplying library. Items usually arrive within 3-15 working days but this can vary greatly if the request has to be sent to more than one library, details are incorrect or difficult to verify, or it has to be sent overseas.

Collecting items

Occasionally, an item is loaned by another library on the condition that it is to be used by the borrower only within the University of Ballarat Library. You will be notified by DDS staff if this is the case with the item you have requested.

Staff

Books and photocopies are sent to you through the University's internal mail service.

PhD/Masters students

Books and photocopies are sent to you at the address that you specify when completing the online form.

Honours, Grad. Dip./Cert. and Undergraduate students

Books and photocopies are held at the Loans Desk at your local campus library. You will be notified by e-mail when the item you requested is available to be collected.

Returning items

Photocopies become your property.

Books are generally on loan for one month, but check the date due slip attached to the front of the book. Extension of interlibrary loans are sometimes possible but should be requested at least 3 - 4 days before the due date. Loans should be returned through the return chutes at the campus most convenient to you, or mailed direct to the DDS office at Mt Helen. Please ensure that you return the item in the clear plastic interlibrary loan cover.
